Eight years after go-live, Fairfax Water realized, with new procurement leadership’s support, that they only scratched the surface when it came to utilizing the integration between SAP Materials Management and Plant Maintenance. Fairfax Water began to make use of contracts, auto purchase orders and online catalog interfaces in SAP to make their system work for them. This led to a more efficient, transparent and streamlined system which also achieved an improved end user experience. Spare parts management seems cumbersome to do considering what the purpose of a storeroom is. The storekeeper faces challenges supporting the O&M staff, especially if the storekeeper is a shared asset amongst multiple storerooms. What parts must be kept on the shelf? And what is the business justification of keeping certain spare parts on the shelf while others can be relegated to a less important status? Having spare parts on the shelf at the ready is an insurance policy. Identifying “critical” spare parts requires applying a methodical evaluation process focusing on an agreed upon criticality criteria. Is a spare part used during preventive or corrective maintenance on critical equipment itself critical? Which transaction codes do we have at our disposal to gather information on and manage spare parts usage? What storeroom KPI’s are available to help make the determination that our storeroom is efficient and effective or in other words…right sized? After the implementation of SAP, The Chamberlain Group (parent company to LiftMaster) was looking to enhance their 3PL program, VMI and JIT. They were seeking a way to improve communication with suppliers and digitize purchasing processes. Hundreds of invoices were on hold causing credit holds and supply problems forcing buyers to work extensive hours and weekends. Leveraging the Supplier Network Collaboration (SNC), The Chamberlain Group improved the VMI, JIT and Kanban programs, making them more effective and streamlining collaboration with suppliers. It was easier to implement ERS invoicing and therefore digitizing over 60% of invoices. This resulted in decreased inventory levels and enhanced supply chain visibility. The purchasing team morale has greatly improved and workload has been reduced to normal working hours and never on the weekends.

Visibility & Quality Control of Manufacturing Process Materials from Receipt to Use

When materials were ordered from logistics, GlobalFoundries identified a gap in the existing supply chain process as material was no longer visible once issued out of the warehouse. Inventory, within the 12 facilities, was not known until manually audited for quantities and expiration dates. SAP Material Change Management (MCM) allows the transfer of material from the warehouse to the staging locations which are visible via a Fiori app. Once MCM was implemented, the material is now able to be scanned onto the point of connection and validated against the quality status and expiration date of the material’s batch. Once a successful scan is complete, the material is issued out of the storage location which triggers an automatic replenishment to logistics if the quantity falls below the min/max established for said material. Since the material is scanned onto the point of connection for distribution, GlobalFoundries now has detailed reporting on all currently-connected and historically-connected materials. Additionally, automatic 90-day expiration reports have been set up and are emailed daily to show the expiration date for material connected to distribution systems; allowing a proactive approach towards escalation and disposition nearing its approved shelf life. Since the implementation of MCM, the on-site supply chain is now visible from receipt to connection and has significantly reduced resources required to manually perform room walks for material replenishment and expiration and has greatly improved forecasting and purchasing processes.

Marathon Oil implemented SAP Plant Maintenance (PM) five years ago at the Eagle Ford asset. By late 2016, lack of material visibility was becoming a major hindrance causing schedules to be missed, materials to be ‘lost’ and costs incorrectly attributed. Marathon Oil began by setting a strategic vision for Materials Management (MM) and PM integration: “Base”, “Value Enhancement” and “Gold Standard” levels of functionality were defined, forming a template for future rollouts into other assets. Challenges included major storage constraints, reuse of materials, ad hoc “walk-ins” and both variable and dynamic work schedules. The challenges called for some innovative solutions, utilizing both standard and custom functionality. Key learnings include the need to have a comprehensive material catalogue at the outset, along with purchasing agreements, the importance of quickly turning around new material masters, attention to stakeholder issues and the importance of having a strategy and clarity of purpose. In this session, participants will learn how Johns Hopkins University has integrated different systems and crafted solutions for inventory control management. This integration and enhanced management has optimized processes, making them more efficient and less labor intensive, while also yielding valuable information for informed business decisions. In a health care environment, as in retail, inventory management is challenged by the need to deliver supplies to different venues in different ways. Some of those venues include point of use systems (such as Pyxis or Par Excellence) and core areas (closet type locations) where supplies are replenished for final consumption at the patient’s bed side. Surgical areas add another layer of complexity because supplies are provided by case-carts, in accordance with each doctor’s preferences. This case-carts information is hosted by a different system that documents both supplies utilization and patient billing. The solutions developed by the Johns Hopkins teams include not just the integration of different systems such as these and automatization of processes, but also ensure that the data flow across those systems is accurate for accounting, inventory management, purchasing decisions and patient billing. Johns Hopkins will present various inventory processes and integrations, automations and reporting, and provide lessons learned from our successful implementation and control of Inventory Management in SAP.

How Monsanto Archived 660,000+ Materials from SAP

Due to the proliferation of material master data, Monsanto was unable to run SAP standard costing. Business processes were designed to create and extend materials for all possible scenarios and plant locations in SAP. This was driven by the growing cycle for seeds and changing market conditions, which made predicting demand challenging. Reducing the number of materials in SAP was driven by a global project to standardize costing. Monsanto partnered with NTT Data to implement a two-phase archiving approach. Phase One involved a detailed analysis of the data objects preventing archiving of materials and the implementation of corresponding archiving processes. Phase Two identified and archived material data created, but never used. This approach enabled the implementation of a global standard costing process, created a starting point for Monsanto to revise the material creation/extension process, and started the development of a material master lifecycle in SAP. Key Business Benefits:

  • Implemented SAP standard functionality for product costing, including material ledger, generating an estimated $5-7 million in value for Monsanto
  • Improved overall performance of costing transactions by 10%-15%
  • Reduced and simplified the material landscape at Monsanto by eliminating 660,000+ materials and 45 million plant extensions (a 50-55% reduction).

A Journey to S4/HANA: Focus on EAM & Materials Management Integration

Incitec Pivot Ltd (IPL) began the journey of moving onto the S4/HANA platform with two separate instances of ECC6 and merging them onto one instance of S4/HANA. IPL has been on SAP for 22 years with varying levels of use and few standard processes. Digitization with SAP's Supplier Network Collaboration

After the implementation of SAP, The Chamberlain Group (parent company to LiftMaster) was looking to enhance their 3PL program, VMI and JIT. They were seeking a way to improve communication with suppliers and digitize purchasing processes. Hundreds of invoices were on hold causing credit holds and supply problems forcing buyers to work extensive hours and weekends. Leveraging the Supplier Network Collaboration (SNC), The Chamberlain Group improved the VMI, JIT and Kanban programs, making them more effective and streamlining collaboration with suppliers. It was easier to implement ERS invoicing and therefore digitizing over 60% of invoices. This resulted in decreased inventory levels and enhanced supply chain visibility. The purchasing team morale has greatly improved and workload has been reduced to normal working hours and never on the weekends.

Visibility & Quality Control of Manufacturing Process Materials from Receipt to Use

When materials were ordered from logistics, GlobalFoundries identified a gap in the existing supply chain process as material was no longer visible once issued out of the warehouse. Inventory, within the 12 facilities, was not known until manually audited for quantities and expiration dates. SAP Material Change Management (MCM) allows the transfer of material from the warehouse to the staging locations which are visible via a Fiori app. Once MCM was implemented, the material is now able to be scanned onto the point of connection and validated against the quality status and expiration date of the material’s batch. Once a successful scan is complete, the material is issued out of the storage location which triggers an automatic replenishment to logistics if the quantity falls below the min/max established for said material. Since the material is scanned onto the point of connection for distribution, GlobalFoundries now has detailed reporting on all currently-connected and historically-connected materials. Additionally, automatic 90-day expiration reports have been set up and are emailed daily to show the expiration date for material connected to distribution systems; allowing a proactive approach towards escalation and disposition nearing its approved shelf life. Since the implementation of MCM, the on-site supply chain is now visible from receipt to connection and has significantly reduced resources required to manually perform room walks for material replenishment and expiration and has greatly improved forecasting and purchasing processes.

Marathon Oil’s Strategic Approach to Materials Management & Plant Maintenance Integration

Marathon Oil implemented SAP Plant Maintenance (PM) five years ago at the Eagle Ford asset. By late 2016, lack of material visibility was becoming a major hindrance causing schedules to be missed, materials to be ‘lost’ and costs incorrectly attributed. Marathon Oil began by setting a strategic vision for Materials Management (MM) and PM integration: “Base”, “Value Enhancement” and “Gold Standard” levels of functionality were defined, forming a template for future rollouts into other assets.

Challenges included major storage constraints, reuse of materials, ad hoc “walk-ins” and both variable and dynamic work schedules. The challenges called for some innovative solutions, utilizing both standard and custom functionality. Key learnings include the need to have a comprehensive material catalogue at the outset, along with purchasing agreements, the importance of quickly turning around new material masters, attention to stakeholder issues and the importance of having a strategy and clarity of purpose.

Journey of a Cotton Ball: Inventory Management in a Health Care Environment

In this session, participants will learn how Johns Hopkins University has integrated different systems and crafted solutions for inventory control management. This integration and enhanced management has optimized processes, making them more efficient and less labor intensive, while also yielding valuable information for informed business decisions.

In a health care environment, as in retail, inventory management is challenged by the need to deliver supplies to different venues in different ways. Some of those venues include point of use systems (such as Pyxis or Par Excellence) and core areas (closet type locations) where supplies are replenished for final consumption at the patient’s bed side. Surgical areas add another layer of complexity because supplies are provided by case-carts, in accordance with each doctor’s preferences. This case-carts information is hosted by a different system that documents both supplies utilization and patient billing.

The solutions developed by the Johns Hopkins teams include not just the integration of different systems such as these and automatization of processes, but also ensure that the data flow across those systems is accurate for accounting, inventory management, purchasing decisions and patient billing.

How Monsanto Archived 660,000+ Materials from SAP

Due to the proliferation of material master data, Monsanto was unable to run SAP standard costing. Business processes were designed to create and extend materials for all possible scenarios and plant locations in SAP. This was driven by the growing cycle for seeds and changing market conditions, which made predicting demand challenging. Reducing the number of materials in SAP was driven by a global project to standardize costing. Monsanto partnered with NTT Data to implement a two-phase archiving approach. Phase One involved a detailed analysis of the data objects preventing archiving of materials and the implementation of corresponding archiving processes. Phase Two identified and archived material data created, but never used. This approach enabled the implementation of a global standard costing process, created a starting point for Monsanto to revise the material creation/extension process, and started the development of a material master lifecycle in SAP.
